SunizeHQ ("we," "us," or "our") is committed to protecting the privacy of our users, clients, and the individuals whose information is processed through our platform. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use SunizeHQ, including any SMS/text message communications sent on behalf of our licensed life insurance agents.

1. Information We Collect
We collect information in the following ways:
Information You Provide
- Name, email address, and phone number when creating an account or submitting an inquiry
- Business information (agency name, EIN, address) for compliance purposes
- Commission data, sales records, and activity logs entered by agents or managers
- Receipt images and financial documents uploaded to the Vault
Information Collected Automatically
- Log data including IP address, browser type, pages visited, and timestamps
- Session cookies used to maintain your authenticated session
- Device and browser information for security and compatibility purposes
Information from Third Parties
- Lead and contact data imported or entered manually
- Authentication data from Manus OAuth when you log in
2. How We Use Your Information
We use the information we collect to:
- Operate and maintain the SunizeHQ platform for your agency
- Send SMS appointment reminders, lead follow-ups, and customer care messages on behalf of agents
- Track commissions, sales activity, and pay period summaries
- Process and store receipts and expense records in the Vault
- Post performance updates to connected Discord channels
- Comply with legal and regulatory obligations (including A2P 10DLC carrier requirements)
- Improve platform features and troubleshoot issues
3. SMS / Text Message Communications
Opt-In Consent
We only send SMS messages to individuals who have provided prior express written or verbal consent. Consent is obtained through one or more of the following methods:
- Verbal consent during a phone or in-person consultation: Before any SMS messages are sent, a licensed SunizeHQ agent verbally informs the client that they may receive follow-up text messages regarding their life insurance inquiry, appointment reminders, and policy updates. The client verbally agrees to receive these messages, and the agent records the consent within the SunizeHQ platform.
- Written consent via signed intake form: Clients may provide written consent by signing a client intake form that includes the following disclosure: “By providing my phone number, I agree to receive SMS messages from SunizeHQ and its licensed agents about account setup, appointments, life insurance inquiries, policy updates, and customer care. Message frequency varies. Msg & data rates may apply. Reply STOP to opt out and HELP for help. I agree to the Terms and acknowledge the Privacy Policy.”
- Digital opt-in: Clients who submit an inquiry through the SunizeHQ platform check a checkbox agreeing to receive text message communications before submitting their information. The checkbox language reads: “By providing my phone number, I agree to receive SMS messages from SunizeHQ and its licensed agents about account setup, appointments, life insurance inquiries, policy updates, and customer care. Message frequency varies. Msg & data rates may apply. Reply STOP to opt out and HELP for help. I agree to the Terms and acknowledge the Privacy Policy.”
Consent records — including the method, date, and agent who obtained consent — are maintained within the SunizeHQ platform. No SMS messages are sent to any recipient without a prior consent record on file.
Message Types
Messages sent through SunizeHQ may include account setup, appointment reminders, follow-up messages regarding life insurance inquiries, policy updates, and customer care communications. Message frequency varies based on agent activity and client needs.
Opt-Out
You may opt out of receiving SMS messages at any time by replying STOP to any message. You will receive a confirmation that you have been unsubscribed. To opt back in, reply START. For help, reply HELP or contact us at the address below. SMS consent is not a condition of purchasing or using SunizeHQ services.
Message and Data Rates
Standard message and data rates may apply depending on your mobile carrier and plan. SunizeHQ does not charge recipients for SMS messages.
4. How We Share Your Information
We do not sell, rent, or trade your personal information. Mobile phone numbers, SMS opt-in records, and SMS consent data are not shared with third parties or affiliates for marketing or promotional purposes. We may share information only as needed with service providers that help us operate SunizeHQ and deliver requested communications:
- Twilio — our SMS delivery provider, for the purpose of sending text messages on behalf of agents
- Amazon Web Services (S3) — for secure storage of uploaded receipts and documents
- Discord — for posting performance notifications to your agency's Discord server (no personal client data is shared)
- Law enforcement or regulatory bodies — when required by law or to protect our legal rights
5. Data Retention
We retain your data for as long as your account is active or as needed to provide services. Commission records, sales data, and financial documents are retained for a minimum of 7 years to comply with insurance industry regulatory requirements. You may request deletion of your personal data by contacting us; however, certain records may be retained as required by law.
6. Data Security
We implement industry-standard security measures including encrypted data transmission (HTTPS/TLS), secure session management with signed JWT cookies, and access controls limiting data visibility based on user roles. Receipt images and documents are stored in encrypted cloud storage. Despite these measures, no system is completely secure and we cannot guarantee absolute security.

Depending on your location, you may have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate data
- Request deletion of your personal data (subject to legal retention requirements)
- Opt out of SMS communications at any time by replying STOP
- Lodge a complaint with your local data protection authority

8. Children's Privacy
SunizeHQ is not directed to individuals under the age of 18. We do not knowingly collect personal information from minors. If you believe a minor has provided us with personal information, please contact us immediately and we will take steps to delete it.
